01Who we are
Veridian Marketing, LLC (“Veridian,” “we,” “us”) is a marketing, web development, and AI implementation company based in Toledo, Ohio. You can contact us through the contact form, at (419) 540-0015, or P.O. Box 6507, Toledo, OH 43612.
This policy covers veridian.marketing, its request forms, and its store and customer accounts. Notices and agreements that applied to earlier purchases continue to govern those purchases. Websites we build or manage for clients have their own privacy policies set by those clients.
02What we collect
Information you give us
- Strategy call and Readiness Brief requests. Name, work email, phone (optional), role, company, company website, what you would like to grow or implement, what is getting in the way, and your preferred way to be contacted. We ask for your role and company to understand the decision context, and for the website so we can review the public starting point before responding.
- Purchases and accounts. When you buy a service or digital item, pay an invoice, or create an account, we collect the contact, billing and order details needed to handle that request. Payment providers process payment details and return information such as payment status and transaction references. Don’t send full card numbers through our contact forms or by email.
- Support requests. Emails, messages, and files you send us while we work on your website, including credentials you choose to share so we can do the work.
Information collected automatically
- Server and security logs. IP address, browser and device type, pages requested, referring page, and timestamps, recorded by our hosting environment and by Cloudflare, which sits in front of the site for performance and security.
- Website analytics and order attribution. Cloudflare Web Analytics helps us understand page visits and performance. WooCommerce uses session information, such as a referring page or campaign link, to record how a customer arrived when an order is placed. See section 04.
- Spam protection. Cloudflare Turnstile is configured for our request forms, login and password-recovery forms, checkout and order-payment forms. Request forms also use hidden honeypot fields. Turnstile processes technical signals such as your IP address and browser information to distinguish people from automated traffic. See the Cloudflare Turnstile Privacy Addendum for details.
Public information
When you request a Readiness Brief, we review publicly available information about your business, such as your website, search results, and business listings. We do not access private systems to prepare it.
03How we use it
- To respond to your request in the way you asked, and to prepare for and hold a strategy call or Readiness Brief.
- To provide, bill, support, and secure the hosting, support, and other services you buy from us, and to manage your account.
- To send service messages: order confirmations, invoices, renewal and outage notices, security alerts, and replies to your questions.
- To understand how the website is used and to improve it.
- To measure and improve our own advertising, where tags are present.
- To protect the website and our business against fraud, abuse, and security threats, and to meet legal and accounting obligations.
Marketing email. Submitting a request does not subscribe you to ongoing marketing messages. Any optional marketing consent is separate, and you can withdraw it at any time using the unsubscribe link in the message or by contacting us.
We do not sell personal information, and we do not share it with third parties for their own marketing.
04Cookies and analytics
Cookies and similar browser storage help the website work. The main purposes are listed below. Cloudflare Web Analytics also uses a page beacon to collect performance and traffic measurements.
| Purpose | Examples | What they do |
|---|---|---|
| Site functions and security | WordPress login cookies, WooCommerce cart/session cookies and Cloudflare security tools | Keep you signed in, remember a cart and protect the website. |
| Site performance | Cloudflare Web Analytics | Measure page visits, loading performance and browser/device characteristics. |
| Order attribution | WooCommerce session-based attribution cookies | Record referral and campaign information with an order so we can understand where it came from. |
You can block or delete cookies through your browser settings. Blocking necessary cookies can prevent login, carts or checkout from working. For questions about the information linked to your account or an order, use the contact form. We handle privacy requests under the laws that apply to them.
05Who we share it with
We share personal information only with providers that help us run the business, and only for the purposes above:
- Hosting and infrastructure: our web hosts and Cloudflare. Website backups are configured to use encrypted copies stored in Google Drive.
- Payments: the provider used for your transaction or existing billing agreement. Earlier purchases or billing agreements may involve WooPayments; the provider’s applicable privacy notice continues to apply to those records and agreements. The main site uses Intuit Payments through QuickBooks for card payments when that option is available at checkout. The available provider is identified in the payment flow, and its own privacy notice also applies.
- Email and communications: our business email provider; SendGrid, which is configured to send website emails; and, for larger projects, collaboration tools such as Slack or monday.com when we set them up with you.
- Site analytics: Cloudflare provides performance and traffic measurement. WooCommerce stores order-attribution information with orders. If we add another analytics or advertising service, we will update this policy to describe it.
- Professional services: accountants, lawyers, and insurers when needed.
We may also disclose information when the law requires it, to protect our rights or safety or those of others, or as part of a sale, merger, or reorganization of the business, in which case this policy continues to apply to the transferred information.
06How long we keep it
- Requests and correspondence: for as long as needed to respond, provide services, maintain relevant business records and resolve disputes.
- Client and billing records: for the relationship and afterward where needed for tax, accounting, legal or dispute-resolution purposes.
- Security logs and analytics: according to their security or reporting purpose and the retention settings of the systems involved. Retention periods vary by record type; contact us about a specific record.
07Your choices and rights
You can ask what personal information we hold about you, request a correction or deletion, or ask us to stop using it for marketing. You can also withdraw consent where we rely on it. Use the contact form. We may need to verify your identity, and some records may need to be retained for legal, security or accounting reasons.
Depending on where you live and which laws apply, you may have additional rights, including access, a copy of your information, restrictions on certain uses, or an appeal of a decision. We will explain our response and any applicable review or appeal process. We do not sell personal information.
If you are outside the United States, note that this website is operated from, and information is processed in, the United States.
08Security
We use TLS encryption on the site, access controls on accounts and systems, security tooling on our hosting environment, and backups. No system is perfectly secure; if we learn of a breach affecting your personal information we will notify you as the law requires. Please do not send passwords or card numbers through the contact form.
09Children
This website is for businesses and adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided information to us, contact us and we will delete it.
10Client data we handle
When we build, host, or support a client’s website, run its advertising, or set up automation and reporting systems, we process information belonging to the client and its customers on the client’s instructions. That information is governed by our agreement with the client and by the client’s own privacy policy, not by this one. We access only what the work requires, and we follow the client’s instructions on retention and deletion. For financial or otherwise consequential systems, we keep human review in the process, as described on our website.
11Changes to this policy
When we change this policy we will update the date at the top of the page. If a change materially affects how we use information you have already given us, we will tell you by email or a notice on the site before it takes effect.
